We sit with the people doing the job before we design anything. Process documentation describes what is supposed to happen; watching shows you the workarounds, the spreadsheet nobody mentions, and the step that exists because of a decision made four years ago. That gap is where most failed internal software dies.
Written down, including the exceptions. We show it back to you, and this is usually the point where two people discover they have been doing the same task differently for years. Settling that is not our decision to make, but it has to be made before anything is built.
Not everything should be custom. If an existing product covers 80% of the job, we will often recommend it and build only the integration around it. We would rather scope ourselves out of part of a project than sell you software you did not need.
The structure of your data outlives every screen built on top of it. We settle it early — including how existing records will migrate — because getting it wrong means working around it in code for years afterwards.

We build around what you have rather than asking you to replace it, and we integrate with systems we did not choose and would not have chosen. If something genuinely needs replacing we will make the case with numbers, and we are equally willing to tell you that the tool is fine and the process around it is the problem.
